Operations Executive (Event Coordination)

About the role

InventU is seeking an Operations Executive to support the planning and delivery of its international events. The role centres on coordination, supplier management and logistics, requiring strong organisation, clear communication and the ability to manage multiple workstreams accurately.

Key responsibilities

• Research and maintain databases of venues and event suppliers across Europe
• Source and coordinate external partners (AV, print, photography, videography)
• Negotiate contracts and manage supplier agreements
• Organise travel and accommodation for team members and participants
• Coordinate event materials and logistics across internal teams
• Oversee delivery timelines and ensure operational readiness for each event
• Track budgets, contracts and related documentation
• Prepare post‑event reports and summaries
• Serve as direct contact for clients and vendors
• Send operational emails to all participants and travel on‑site for coordination

Required profile

• Strong written and verbal communication in English
• High level of organisation and attention to detail
• Ability to manage multiple tasks and meet deadlines
• Proactive and solution‑oriented approach
• Reliable and accountable in execution
• Relevant experience in events, logistics or operations is an advantage
