Accounts Payable Assistant - Trucking Operations

About the role

The Accounts Payable Assistant processes and manages payments for trucking operations, ensuring vendor invoices such as fuel, repairs, maintenance, tolls, insurance, permits and third-party carrier driver checks are paid on time. The role keeps payments compliant with company policy and supports smooth fleet operations.

Key responsibilities

• Process and verify vendor invoices for trucking operations (fuel, maintenance, repairs, parts, tolls, insurance, permits and leasing).
• Check invoices for accuracy, proper approvals and compliance with company policies.
• Prepare and execute payments by wire transfer, driver's checks and fuel cards.
• Track and manage recurring expenses such as insurance, trailer leases, permits and registrations.
• Clarify charges with dispatch, maintenance, safety and operations teams.
• Maintain accurate and organised AP records for audit and reporting.

Required profile

• High school diploma; associate or bachelor's degree in Accounting or Finance preferred.
• Fluent in English.
• Previous accounts payable experience, preferably in trucking, logistics or transportation.
• Able to work the second shift.

Required skills

• Experience with the McLeod transportation management system.
• Understanding of trucking terms such as fuel, IFTA, detention and lumper fees.
• Attention to detail with high-volume invoices, and strong organisational and communication skills.
